Terms & Conditions/ Standard Operation Procedures

Mubec safaris Ltd is one of the tourism companies in Uganda legalized to organize trips all around E. African countries like Uganda, Rwanda, Kenya and Tanzania. At Mubec safaris you experience a natural environment surrounded by animals, green vegetation and local communities and all this is done basing on its standard Terms & Conditions. We request you to read through these terms and conditions thoroughly well before filling in the booking form or transferring money into our account for the best services.

A 25% deposit of the total tour price will be required to secure a booking, the balance being due 45 days before the tour departure date. Bookings not secured by the appropriate deposit will be released. Cancellation between 90 and 45 days of tour departure will incur a 25% of tour price penalty charge. Confirmed bookings cancelled within 45 days of the tour departure date or no show will incur 100% of tour price penalty charge. Availability of accommodation and activities is not guaranteed; reservations will be made after receiving confirmation of the final itinerary and the payment of the requested deposit. Should any of the quoted accommodations not be available, we reserve the right to substitute it with an alternative suitable option, which might affect the final quoted price. All clients who participate in this tour must be adequately covered by medical insurance as well as travel insurance to protect them in case of unforeseen circumstances. Rates specified for this tour are subject to change without notice, however every effort will be made to maintain them. In the event of any change of Government taxes or operating conditions that affect the rates we reserve the right to pass on these charges. The traveler can terminate the travel agreement. If the traveler does so, he or she will be required to reimburse Mubec safaris Ltd. for the loss Mubec safaris Ltd. suffers as a result of the termination. This is a maximum of one time the travel sum.

1. Payment using 3G direct pay link/Credit card- A confidential payment link can be sent to you through our accounts office and then you can process your payment online. You will incur a surcharge of 5% of the total amount. The money will hit our account immediately and we shall receive a notification confirming the payment. 2. Bank transfer - This attracts US$30 bank transfer charge. Bank details are included on the invoice and the money takes at least 3 days to hit our account. If you prefer this payment mode, we request that after you make the transfer, please share with us the payment confirmation for proper reconciliation on our side

The traveler / travelers must provide all necessary information and documents like passport details, email address, mobile number, health information, travel dates, age group, number of traveler’s e t c regarding him/herself for best preparations regarding the trip. This is done before the conclusion of the agreement and signing of the contract to the travelers. If the traveler does not comply with his/her obligations to provide information, this could result in said traveler(s) being excluded from (further) participation in the travel package. In such cases, all costs associated with this will be charged to the traveler. The traveler must update Mubec safaris on any medical issues and other reasons concerning their health in a period of 8 weeks in order to meet such a request, but if Mubec safaris Ltd. does meet it, the traveler must pay the costs associated with the change. The traveler must give clear information on places and activities they would like to visit and engage in order to make early planning and payments these include; booking gorillas tickets and chimpanzees.

The contract is realized as a result of acceptance by the traveler of the offer of Mubec safaris Ltd., including the terms and conditions declared applicable. After the contract is realized, the traveler will receive confirmation of this, and/or an invoice, as quickly as possible. Mubec safaris Ltd. is entitled to terminate the travel agreement in writing within the period stated in the offer in the event that the number of participants is smaller than the required minimum number of participants made known prior to the booking- (Only applicable to group bookings)

Mubec safaris Ltd. can only change the travel agreement as a result of serious circumstances, which Mubec safaris Ltd. must notify the traveler of immediately. The traveler can only reject the change if the change does cause a disadvantage to the traveler which is of more than slight significance.

Mubec safaris is required to provide assistance to the traveler depending on the circumstance especially if the two parties have not come to an agreement concerning the tour package.

Mubec safaris Ltd. or the local operator is not liable for damage, death, injury, illness, theft or damage/loss of property. Mubec safaris Ltd is not responsible and liable for natural disasters, wildfires, actions from governments or authorities, terrorist attacks, strikes, theft, epidemics, incidents at sea, land and in the air, incidents involving wildlife and other similar incidents out of our control. Mubec safaris Ltd. is not liable for the costs/damages for not appearing, coming late or delaying a flight or transfer, as a result of which the trip must be canceled or changed. Mubec safaris Ltd. will always do their utmost to prevent any problems. Mubec safaris Ltd. is also not liable if the traveler has been able to recover his/her loss under an insurance policy taken out by him, such as a travel or cancellation insurance. Mubec safaris is not responsible for any wild attacks especially if a traveler fails to follow the instructions set aside for a specific task though these are rare cases.

Substitution. The traveler can request that Mubec safaris Ltd. replace him/her with another person. This is subject to the following terms and conditions: • the other person complies with all the conditions to which the contract is subject; and • the request is submitted no later than 7 calendar days before departure, or in good time such that the necessary actions and formalities can still be carried out; and • the terms and conditions of the service providers involved in the fulfilment do not preclude such substitution. In the event that the request cannot be granted, Mubec safaris Ltd. will notify the traveler to this effect, giving reasons. The booking party, the traveler and the person substituting for the traveler are jointly and severally liable visa Mubec safaris Ltd. for payment of the part of the travel sum still owed, the amendment fee and any additional costs resulting from the substitution. For activities that are strictly registered (such as Gorilla Permits), Mubec safaris Ltd. will do its utmost to convert this, but Mubec safaris Ltd. cannot guarantee this, nor can it be held liable.

Mubec safaris Ltd. will indicate in the confirmation the time at and manner in which Mubec safaris Ltd. will make the travel documents available to the traveler. If the traveler has not received any travel documents by the time specified by Mubec safaris Ltd. and no later than 5 working days before departure, he/she must notify Mubec safaris Ltd. or the booking office to this effect immediately.

Mubec safaris expects a traveler to follow all instructions issued and is liable for damage or loss caused by his or her actions this include *Not getting close to wild animals *Taking care of personal belonging like camera, phones, wallets etc. This is to be evaluated according to the standard of the conduct of a well-behaved traveler. The traveler is required to avoid or limit any loss as much as possible. Each traveler must ascertain the exact time of departure for the return journey no later than 24 hours before the stated time of departure. A valid travel insurance is required including medical cover, which is valid in the countries to be visited.

Feedback or Complaints about the performance of the agreement must be notified as quickly as possible on site, so that a solution can be sought. In this context, the traveler must report in the following sequence to: 1. the appropriate service provider; 2. the holiday representative or, if he/she is not present or available; Mubec safaris offers a well printed form physical to a traveler to give feedback on his/ her trip and Incase a complaint is raised by a traveler, Mubec safaris takes action by inquiring from the traveler what the exact cause or problem was and makes sure we resolve the issue and come to a mutual understanding in order to avoid negative feedback in the travel package without delay.
